Personal Assistant, Full Time

Pharma MT Ltd, a premier healthcare provider in Malta, renowned for representing top international pharmaceutical, cosmetic, and dermo-cosmetic brands, is currently seeking a dedicated Personal Assistant to enhance our dynamic team. The role offers a unique opportunity to engage deeply in the operational heartbeat of our company, supporting our directors and general manager and contributing to our organizational success.

Key Responsibilities:

  • Provide administrative and secretarial support directly to the Directors and General Manager.
  • Manage and organize meeting logistics, take minutes, and distribute them appropriately.
  • Create, format, and edit reports, documents, and presentations.
  • Maintain databases, manage data entry, and ensure accurate record keeping.
  • Handle internal and external communication, including answering calls and managing correspondence.
  • Make travel arrangements and manage scheduling and calendar events.
  • Assist in preparing and organizing facilities for various events, including arranging necessary refreshments.
  • Operate office equipment such as printers, copiers, and scanners.
  • Process, register, and distribute all incoming and outgoing mail.
  • Perform additional clerical and administrative tasks as needed including reception duties, as may be assigned from time to time.

Requirements:

  • 3 – 5 years of experience as a Personal Assistant, with a strong preference for candidates who have worked in a similar role.
  • Proficiency in MS Office applications (Word, Excel, PowerPoint) and strong capabilities in document and spreadsheet management.
  • Advanced skills in typing, note-taking, record-keeping, and organizational tasks.
  • Experience managing both internal and external correspondence.
  • Familiarity with office technology (printers, copiers, scanners).
  • Proficiency in using scheduling software, preferably MS Outlook.
  • Excellent communication skills, both written and verbal.
  • Exceptional interpersonal skills and the ability to work effectively within a team.
